Front Desk Coordinator
Stegra is home to a growing and dynamic team in Stockholm. Our office at Torsplan serves as an important meeting point for colleagues, partners and visitors - a space where culture, collaboration and everyday operations come together.
We are now looking for someone to join us as a Front Desk Coordinator on a permanent basis and take long-term responsibility for the daily operations of our front desk.
In this role, you will not only ensure that daily operations run smoothly - you will help maintain structure and clarity in our daily office operations while contributing to a welcoming atmosphere in our Stockholm office.
About the role
As a Front Desk Coordinator you will be responsible for the daily management of the front desk, ensuring a professional and welcoming experience for all visitors, while maintaining a structured and well-functioning office environment.
You will act as a central point of contact in the office - a natural hub where colleagues and visitors turn with questions and day-to-day needs. You will be part of the Office team, reporting to the Office Manager, and collaborate closely with colleagues and external partners.
The role requires on-site presence, a proactive approach to daily operations, and an ability to thrive in a fast-growing and dynamic environment.
Responsibilities
Welcome employees, guests and partners, representing Stegra with professionalism
Manage front desk operations
Handle office-support communication channels
Coordinate conference rooms and office logistics
Handle deliveries, office supplies and vendor coordination
Maintain structure and routines in the front desk and common areas
Manage visitor registrations, badges and access administration
Support internal teams with administrative and practical matters
Help maintain and gradually improve office routines
Support internal events and activities
Working hours - Location - Start Date
The position is 80%, with planned working hours:
Monday-Thursday: 08:30–16:00 (1 hour lunch)
Friday: 08:30–15:00 (1 hour lunch)
Working hours may vary depending on office activities and events. Flexibility is required, and extended hours may be compensated with time off.

Expected start date: August 11th 2026

Fluency in Swedish and English
Confidence in working with digital collaboration tools
The ability to manage both busy periods and quieter moments, using downtime productively
Previous experience in reception, office coordination or a similar role
